Implementation success – or failure

Why SAP implementations fail—and how to prevent it

We had very high expectations in terms of automation and improved business processes, and APH has helped us to meet them all.

Chris Gawith, Technical Director, Gawith Hoggarth & Co. Ltd

The biggest risks aren’t technical – they’re about choosing the right partner from the outset. Common failures happen when:

Partners don’t truly understand your business.

Communication breaks down.

There’s no clear methodology.

Inadequate support and in-house training/upskilling.

Expectations aren’t properly managed.

Our SAP implementation approach: the difference i different

You’re always more than an SAP licence number

Get SAP’s proven methodology with a partner as invested in your success as you are.

Our methodology

Seven steps to implementation success

1/

Initiate

Setting the foundation for success.

We start by understanding your business—not just your technical requirements. This crucial stage establishes clear expectations, defines success, and ensures everyone knows their role.

  • Confirmed project scope
  • Defined project deliverables
  • Team structure and responsibilitie
  • Agreed timelines
  • Signed project initiation document

2/

Requirements

Turning your needs into actionable plans.

We train your key team members on standard SAP functions before we start detailed requirements gathering. Why? So you can make informed decisions about how the system should work for you and contribute to the design.

Stage 1

  • Trained project team members

Stage 2

  • Documented system requirements
  • Completed design workshops
  • Detailed process documentation
  • Scope confirmation

3/

Design

Mapping your path to success.

Following the requirements workshops, we document exactly how your system will be configured and what additional functionality you’ll need to meet your business goals. You will need to confirm your understanding of the functionality requirements to ensure what is built meets your expectations.

  • Detailed system configuration plan
  • Additional functionality specifications
  • System design documentation
  • Client sign-off on design

4/

Build

Creating your solution.

While we build your system according to the documented design, your team can focus on preparing data and familiarising themselves with SAP Business One.

  • Core system build
  • Development and configuration completion
  • Test database preparation
  • Initial static data import

5/

Training

“Super Users”: Train the Trainer.

Before user acceptance testing begins, we train your key users on standard and custom-built features. This upskills your in-house capabilities and lowers your IT costs during the project and beyond.

  • Comprehensive user training
  • User acceptance testing preparation
  • Trained super users

6/

Test

Ensuring everything works.

During the testing phase, we will allocate resources to resolve issues that come up and provide fixes. We check you can follow the processes and are comfortable with the system before going live.

  • Data migration validation
  • Configuration testing
  • End-to-end process testing
  • Draft go-live plan
  • Test go-live data migration

7/

Go-live

Your smooth transition to success.

In this phase, we ensure a controlled transition with testing before live execution, end-user training* and extra support when you need it most.

*End user training is normally delivered by your “Super Users”, to keep costs manageable, although we can provide this if you prefer.

  • Live environment preparation
  • Final data migration
  • Go-live action plan
  • Priority support setup
  • Transition to ongoing support with Train the Trainer

Through strong relationships, communication and a clear project plan, we were able to work collaboratively with APH to deliver the single most important IT transformation.

SAP implementation FAQs
How long does implementation typically take?2025-03-26T12:02:44+00:00

Most SAP Business One implementations take 6-9 months on average, depending on your business complexity and scope. We’ll provide a detailed timeline during initial planning.

What level of resources do we need?2025-03-26T12:04:55+00:00

For your SAP implementation to be a success, within your budget and timescales, it needs to be properly managed. And your in-house team needs to be closely involved with the process to ensure that it works for your business.

Our experience shows that:

For every 1 day we deliver, expect to invest 3 days of your team’s time. We help you plan this effectively to minimise business disruption.

Key project roles:

Project Manager: Manages your team and ours b to ensure the project stays on track.
This can be internal or we can recommend experienced implementation project managers.

Key stakeholders: Needed for critical decisions to approve system configurations and changes.

This is typically senior team members who understand business processes.

Super users: Trained to an advanced level to become your in-house experts post go-live.

You will need one from each specific business unit before and during go-live.

Department representatives: Give insight into processes and help the system meet real-world needs. This is usually someone senior/technical. They are critical during testing and feedback key phases.

How do you handle user training?2025-03-26T12:05:23+00:00

We train your key users first, who then become your super users. This ‘train the trainer’ approach ensures you build in-house expertise while keeping costs manageable.

How do you transfer data from our old system?2025-03-26T12:05:42+00:00

We focus on critical data first: master data (customers, suppliers, items) and open transactions. Historical data transfer is optional, helping keep your project efficient and cost-effective.

How do you ensure the system works before go-live?2025-03-26T12:14:41+00:00

We conduct extensive testing including:

  • Data migration validation

  • End-to-end process testing

  • User acceptance testing

  • Conference room pilots

  • Go-live simulations

How do you support us after go-live?2025-03-26T12:16:39+00:00

You’ll receive:

  • Priority support in the first few weeks

  • Assistance through your first month-end

  • Transition to our dedicated support desk

  • Regular system health checks & optimisation

How do you manage project communication?2025-03-26T12:18:04+00:00

We use our professional service application (PSA), which provides:

  • Structured task tracking

  • Clear progress visibility

  • Easy issue logging

  • Regular project reviews

What if we need extra project management support?2025-03-26T12:18:39+00:00

We can recommend independent project managers with proven APH implementation experience to help manage your internal resources and responsibilities.
